How Often Should You Inspect a Rental Property?

There is no single legal answer, but there is a sensible standard most property managers follow. Here is a simple framework.

Every tenancy: move-in and move-out

At an absolute minimum, inspect at move-in and move-out for every tenant. The move-in inspection sets your baseline, and the move-out inspection is what protects the deposit. Use a move-in and move-out checklist and photograph everything.

Once or twice a year: routine inspections

A routine inspection every six to twelve months catches small maintenance issues before they become expensive repairs. A slow leak found early is a cheap fix. The same leak found a year later is a rebuild.

Give proper notice

For a routine inspection of an occupied unit, most states require advance written notice, often 24 to 48 hours. Move-in and move-out inspections are usually scheduled directly with the tenant. Always check your state and local landlord-tenant laws.

Make it repeatable

The real value of regular inspections shows up over time, when you can compare a property to its own history. Consistent, documented inspections turn into a record you can actually rely on. A standard checklist run digitally makes that easy.
