Security deposit conflicts are one of the most common issues between landlords and tenants, and almost all of them come down to one thing: documentation, or the lack of it.
Why disputes happen
A tenant moving out expects their deposit back. You need to use it to cover damage beyond normal wear and tear. Without clear, dated evidence of the unit’s condition at move-in, it becomes one person’s word against another’s, and that can turn into a costly he-said, she-said.
Document condition at move-in
The move-in inspection is your baseline. Walk the unit with a move-in checklist, photograph every room, and note any existing wear. Then have the tenant review and sign it. That signature is your strongest protection.
Compare at move-out
Run the same checklist at move-out and compare the two side by side. Anything beyond normal wear and tear, backed by before-and-after photos, is a clean, defensible basis for a deduction.
